The short answer
For most events, book one to three months ahead. Airport transfers and weeknight dinners can usually be booked a few days out. Peak-season weddings, harvest-season wine tours and big conference weeks need much more notice.
Weddings
Bay Area wedding season runs roughly from late spring through October, and Saturdays go first. Booking about six months ahead gives you the best choice of vehicles and lets the transportation plan be built around the day's timeline rather than squeezed into it.
Napa and Sonoma during harvest
August through October is harvest season in the wine country, and weekend tours fill quickly. For a group, book three to six months ahead. Midweek tours are easier to arrange on shorter notice.
Conferences and corporate events
Large conferences in San Francisco and San Jose tie up hotels and cars for the whole week. If your company is flying in staff or guests, reserve transportation as soon as dates are set, often three to five months ahead.
Proms, graduations and holidays
Prom and graduation weekends in spring and holiday party season in December are busy across every Bay Area company. Book four to eight weeks ahead.
Planning tips
Send a full itinerary with addresses and times. Build in extra time for Bay Area traffic, especially on US-101, I-880 and the Bay Bridge. Confirm the vehicle, the passenger count and luggage, and ask who your point of contact is on the day.
